DEFINITION: What is the Project Kick Off?
The Project Kick off meeting is of critical importance to the success of the project. The initial meeting occurs at the on-set of the Project Planning Phase.

5.1 E LEMENTS OF P ROJECT K ICK O FF •
Set a clear agenda: why, who, what, where when and how • Ensure the right participants are invited • Prepare to make a good first impression • Set a clear communication plan
5.2 P ROJECT K ICK O FF P REPARATION Content (the ‘why’, ‘what’):
• Develop / review business case & project charter, including project business objectives. • Develop project execution plan. • Develop milestone schedule. • Develop team communication / alignment plan. People (the ‘who’): • Prepare project sponsor.
• Identify core team & team members, along with team approach. • Include Procurement when identifying or working with vendors.
Logistics (the ‘where’, ‘when’ & ‘how’): • Confirm kick off meeting participants. • Send invite & distribute agenda. • Prepare for developing action plans & next steps.
5.3 A GENDA •
Introductions: must be straight forward (should comment if there are any key stakeholders missing and how their involvement will be addressed) • Vision: why is the project being executed, what will it deliver to the business • Scope and objectives (scope exclusions): should come from the project charter, need to get alignment on what is and what is not included in the project • Assumptions, risks, challenges, and constraints: summary of the key elements that can impact on the execution of the project • Project approach: details of how it is planned to deliver the project (e.g. Internal resources, external etc.) • Team Members & Organization Charts: structure for project delivery (at appropriate level of detail) should also comment on any positions which could be problematic to fill
